HVNA Meeting Minutes

October 23rd, 2001

The meeting began about 7:20 and adjourned around 9:00.

Meeting minutes from August 28^th The minutes from previous meetings were reviewed and decided to be accurate

We had a follow-up discussion about the block party. We reviewed the minutes from the block party follow-up meeting and highlighted a few things.

· We have decided that next year we will re-name the block party to something like “Old Town Social”.

· Find ways to attract adults as well as kids. Maybe have bear or wine at the social.

· Look for ways to involve the historical society

Contractor & Mailing list – Lee passed around a copy of the contractor list looking for more names and phone numbers.

Before the election of officers we discussed what things might need to change to be more effective next year. Here is what we decided.

· A Zoning sub-committee was needed to support Karen when issues come up that need to be discussed. Volunteers for that committee are Karen, Wayne and Jean Haut, Matt Romberg, Cheri Rosenberger.

o Anyone else who wishes to can join. This

o We agreed to meet for breakfast or some other convenient time when there is a need to discuss a zoning issue or to make plans to address city council or the zoning committee.

· To foster better communications we have decided to produce a quarterly newsletter to be sent out just before our quarterly meetings. Cheri has agreed to be the editor. (We still have to come up with a name for the quarterly. Maybe something like “The Old Town Rag”?

· We have also decided to change the meeting schedule.

o We have decided to move to a monthly meeting for the “small group” and keep the quarterly meeting for the “large group” (of course our small group and large group meetings seem to be about the same size).

o For the quarterly meeting we will use the quarterly newsletter to invite everyone on the mailing list.

o For the monthly meetings we will use the e-mail list. This will give us more time to prepare for the quarterly meetings as well as more time to enjoy the social aspect of our group.

o Monthly meetings will be the 3^rd Tuesday of each month unless otherwise mentioned.

o Each month the meeting will be someone’s home. Anyone can volunteer.

o The November meeting will be at Karen’s home. On November 27^th.

o We will skip December and have the Quarterly Meeting on January 15^th.

o Attached you will find a meeting schedule for 2002.

We spent some time discussing ways to get more people involved. And here is what we decided:

· Karen will find out how to get information into the welcome wagon packet of information and if the welcome wagon does not exist, what it would take for us to become the welcome wagon for old town. Other people were to see if they could find ways to find out when new people move into town.

Calendar Sales:

· Karen will follow-up with Mary Clair to see if we can put a poster in the Chamber Office.

· Lee will check with the 1^st Baptist Church to see if we can sell during their bake and craft sale. (They said no for this year but to approach them early next year.)

· Cheri will produce flyers by November 16^th.

· Cheri will talk to the historical society to see if we can sell calendars in the Historical Society gift shop.

· Using some of the ideas from the recognition program, Cheri suggested that we make recognition plates like the tour of homes that say “HVNA Calendar Home” for anyone that is highlighted in one of our calendars. It was agreed that this was a good idea. No one was assigned to find out the cost.

HVNA as a Political Interest Group:

• There was a significant discussion over if we want to be a political action group and come before the city council as the HVNA or if we want to continue to act as we have in the past and come before the city council or the zoning committee as a group of neighbors involved in our community.
• The decision was made to be more proactive by meeting to discuss zoning issues as they come up. Call special meetings to discuss zoning issues. But also to come before city council and the zoning board not as a political action group known as the HVNA but as a group of informed individuals representing ourselves.
• This decision was made with the same things in mind when we named our group the Hudson Vintage Neighborhood Alliance. We choose the name to include as many people as possible. In that same spirit we don’t want to exclude people with different points of view or to speak for people that we don’t know what their point of view is. So our plan is to stay informed as a group and appear before the city council and zoning board when issues arise speaking for ourselves as informed involved citizens and not as the HVNA speaking for anyone but ourselves.
• We also confirmed that the petitions we have done in the past allow us to get more people involved and then speak people other than ourselves.

Web Site:

• When the rest of the block party pictures are available the web site will be updated with new information and pictures.
